Remove details that are not needed for the task:

  • names

  • email addresses

  • phone numbers

  • home addresses

  • account numbers

  • passwords

  • payment details

  • private links

Replace real names with simple labels like Customer A or Vendor B.

Then give AI only the facts it needs.

Example

Do not paste this:

Jane Smith called about invoice 48291. Her phone number is 555-0123. Her card ends in 4412. She wants a refund.

Use this instead:

Customer A has a question about an invoice and asked about a refund. Write a polite reply that asks for the missing facts. Do not promise a refund.

AI can still help with the draft.

The private details are gone.
